1. Adjust your user privileges
Setting up users and taking some time to look at their available privileges is important for managing your staff. It is a good place to start if you are new to the software or you have a new addition to your team.
Privileges can help your users see only what they need, resulting in less confusion and more productivity all round.
Examples of privileges available in the software include:
- Editing completed certs
- Download cert numbers
- Output certificates in Field Mode
- Complete certs in the field (with Cloud Numbering, coming soon)

2. Embrace shortcuts
When using software on a daily basis, it can be beneficial to learn the shortcuts. There are a couple of ways to speed up the process of completing your certs.
Keyboard shortcuts are useful when filling in the circuit details and test results. Quickly add new rows, copy row details and get certs completed in no time.
You can find the list of available shortcut keys in the software, so you don’t have to memorise them.
Other user help features, including the ‘?’ in the top right corner, give you access to how-to guides and support when you need them. These direct links cut out the long search process and give you a shortcut to the information you need.
3. Set up templates
Templates can speed up many processes across technology and software.
Be sure to save yourself some time by creating templates of the certs you use the most. Send these to the users who need them out in the field to make everyone’s job a little easier.
Maybe your engineers need to complete several electrical certificates for landlords to fulfil new regulations. Or a particular company needs multiple inspection reports. Create a certificate template and fill in the important details ready to send to your engineer. Then all the engineer will need to do is fill in the test results and add a digital signature before swiftly returning it to the office for completion.
Another benefit of templates is that they can be used across different certificate types. You might want to create a new DPR18 certificate from details in DCR18 template; with template mapping, you can do this in just a couple of clicks.
4. Filter the cert list
If you fill out hundreds of certs on a regular basis, it can be difficult to keep track of everything. Thankfully digital certs are easier to manage and filter than physical paper certs.
Search for your 18th edition e-certs by company name, postcode or reference. Filter by date and find specific cert types quickly. Expand that filtering across templates and reminders to show particular categories.
Certificate management is an important aspect of the software and can make the work easier. So, spend less time looking for what you need and more time filling in the certs and sending them to your clients. Filtering is a great way to tailor the modules to suit your certificate management style.
